    Save Any Email as a PDF File — Instantly

    Your inbox may be packed with personal messages, newsletters, service updates, signup credentials, and more. Some of these emails could be so important that they should become PDF files. This format is secure, compact, and widely accepted. Fortunately, there is a way to create PDFs with your data quickly. These tips will help you turn emails into printable and editable documents.

    Turning Outlook Emails into Documents

    Most versions of Outlook store data as PST, and you can turn emails into PDFs manually. However, the attached files are a stumbling block. Utilities like the CoolUtils converter allow you to convert PST to PDF with attachments without limits, but manual methods fall short.

    In Outlook 2010 or later versions, open the message and click on File. Select the print option and choose Microsoft Print to PDF as a printer. Next, click Print. You will be prompted to name the resulting file and specify its location. Save the settings — and the PDF will appear in the right place.

    In older versions, every email must be saved as an HTML file first. Unfortunately, bulk saving is lengthy, and attachments are not included. To convert groups of messages together with enclosed files, use a converter.

    Turning Thunderbird Emails Into Documents

    You can print a single email easily using the Print Command. The system can save messages as PDF files instead of sending them to a physical printer. You may then edit the content or create a hard copy. Here is what to do.

    1. Select the necessary message(s) in your inbox.
    2. Access the Print option via File or by pressing Ctrl+P. A new window will pop up.
    3. Make sure you will be printing to file and choose the Microsoft Print to PDF
    4. Give a new file a name and specify its location.
    5. Save the settings to launch the export process.

    Please note that emails are saved one at a time. Therefore, bulk saving is a real hassle. Unless you use a special converter, you have to repeat the steps described above for every message.

    Turning Gmail Messages into Documents

    In Gmail, a bulk transfer is not possible without converters. For a single email, there are just a few steps to take.

    1. Open the message you would like to transfer.
    2. Click on the print icon to the right of the subject line. The email will be opened in a new window. The printer menu will also pop up automatically.
    3. Instead of a physical printer, choose to Save as PDF.
    4. Adjust the settings as necessary (layout, margin, etc.).
    5. Save the changes.
    6. You will now be prompted to navigate to the destination folder. Rename the document if needed and confirm by clicking Save.

    Opt for Automatic Transfer

    As you can see, turning a single email into a PDF document is easy. However, things get tricky when attachments or large volumes are involved. Third-party tools for specific mail clients complete the task quickly and accurately.
